PROTRANS BC is the private operator of the Canada Line, a 19-km automated rail-based rapid transit system connecting Downtown Vancouver with central Richmond and the Vancouver International Airport. Located in Richmond, we are a part of the PROTRANS family of SNC-Lavalin O&M, a global solutions provider to facility and asset operations.
The Executive Administrative Assistant is responsible for providing high level administrative support to the Human Resources Department in addition to the senior management team. To succeed in this role, the appointee will be a highly efficient and a hands-on multi-tasker, able to demonstrate initiative, integrity and discretion at all times.
DUTIES & ESSENTIAL JOB FUNCTIONS
Screens incoming telephone calls and correspondence, responding to routine matters on own initiative and preparing a first draft response for review on more complex matters. Acts as first point of contact for employees’ requests and/or questions.
Makes courier, catering, travel and conference arrangements taking care of all logistic. Provides necessary support for on and off-site meetings. Prepares agenda, minutes, and follows action items on outstanding issues for completion.
Manages and maintains the training records database (Traincaster); maintains computer and manual filing systems and prepares reports as required.
Assists with coordination of company events such as potluck lunches, flu vaccinations, lunch and learns and career fairs; manages catering requirements where applicable.
Administers HR tasks such as the completion of on/off boarding, benefits documentation, security badge/transit pass production and recovery, employee checklists, conducts benefits presentation and orientation and facility tours for new employees; tracks probation hours, organizational chart and promotional increases; maintains associated materials and confidential employee files.
Assists with recruitment activities such as submitting and tracking postings, careers inbox; scheduling of interviews and testing.
Composes and distributes a wide variety of documents, including correspondence confidential in nature, reports and tracking records, company communications, presentations, content for quarterly newsletter, company website and other materials.
Assists in the development and completion of HR departmental objectives.
Manages employee files and records/time keeping.
Interacts at all levels within the organization, including client contacts, customers and other external parties.
Orders department supplies and materials, creating purchase orders when required.
Assists various committees’ as required.
Provides support and relief to the Human Resources Coordinator.
Works on special projects as assigned.
Minimum of five years administrative experience, preferably gained within a fast-paced, customer-focused human resources discipline.
Minimum two years’ experience providing administrative support at the executive level.
Excellent verbal and written communication skills.
Demonstrated ability to work in a confidential environment with the ability to handle sensitive information while demonstrating a high level of professionalism and maturity.
Experience working in a unionized environment.
Excellent interpersonal skills combined with a high degree of professionalism.
Excellent time management and organizational skills with a detail orientation.
Demonstrated ability to effectively multi-task, use good judgment in prioritizing deliverables, and follow-up.
Advanced technical skills including MS Word, Excel, PowerPoint, Outlook, Workday, Visio and web based applications.
Self-motivated and proven ability to take initiative in complex matters with the ability to work independently, as well as part of a team.
Strong results orientation to collaboratively share ideas and information within a team.
